Ensuring Chart’s Success…

As the Sales &Administration Support, you will play a pivotal role in ensuring the smooth operation of our office environment in a new location – Gebze / Dilovası – Kocaeli.

In addition to traditional office management duties, you will be responsible for coordinating customs clearance processes and facilitating communication with both customers and suppliers. You will support our Sales team and Managing Director with back-office tasks and projects. The ideal candidate will be detail-oriented, adaptable, English speaking and possess excellent communication skills.

What Your Day-to-Day Activities Will Be…

  • Oversee day-to-day office operations, including managing administrative tasks and maintaining office supplies.
  • Coordinate customs clearance procedures for imported/exported goods, ensuring compliance with relevant regulations and documentation requirements
  • Organising transportation and tracking shipments to point of delivery.
  • Support the Sales team and Managing Director with back-office tasks and projects.
  • Serve as the primary point of contact for customer inquiries and provide exceptional customer service.
  • Facilitate communication between internal teams and external stakeholders, including suppliers and customers, to ensure timely delivery of goods and services.
  • Manage vendor relationships and evaluate supplier performance to optimize procurement processes.
  • Maintain accurate records and files, both electronic and physical, in accordance with company policies and legal requirements.
  • Ensuring compliance with company policies and procedures.
  • Cross-functional collaboration with sales, finance, marketing and production.

Your Professional Experience Should Be…

  • Degree in Business Administration, Management, or a related field preferred.

  • Proven experience in office management or administrative roles, with a track record of successfully coordinating multiple tasks and priorities.

  • Fluent in English

  • Excellent communication skills, both verbal and written, with the ability to interact effectively with individuals at all levels.

  • Familiarity with customs clearance processes and import/export regulations preferred.

  • Strong organizational skills and attention to detail, with the ability to anticipate needs and proactively address issues.

  • Proficiency in Microsoft Office Suite and other relevant software applications.

  • Ability to work independently and collaboratively in a fast-paced environment.
