POSITION DESCRIPTION: Prepares and processes fiscal paperwork for purchases made by Electronic Procurement Requisitions, Local Purchase Orders and Purchasing Card charges in Florida Accounting Information Resources subsystem (WORKS) according to current directives and procedures. Process invoices/warrants in accordance with provisions and requirements of Section 215.422. F.S. Prepares travel documents and travel reimbursements.
Prepares, reviews and processes purchase orders/direct orders using Ariba system and/or Purchasing Card. Responsible for the timely and accurate processing of vendor invoices and warrants for the payment of services rendered. Prepares and processes fiscal paperwork, i.e. Utility Invoice Transmittals, Contract Invoice Transmittals, Requisitions, Local Purchase Orders, travel forms, Individual Reimbursement Vouchers according to established procedures. Receives and submits invoices for payments meeting state determined purchasing guideline.
Provide support in the annual inventory process by locating and scanning assigned property and equipment.
Maintain motor vehicle logs. Ensure that appropriate recording keeping of Department of Transportation motor vehicle usage is conducted on a monthly basis. Notify and obtain vehicle use information for all vehicles within the cost center on a monthly basis. Record operator of vehicle and file any signed gas receipts for each vehicle in the log. Update log sheets for each vehicle into keymaster on a monthly basis.
Assist front desk receptionist backup coverage or any other area to promote and enhance the production level of administration overall; including communication/switchboard, security, customer service, information dissemination, administrative reports and other administrative support tasks as identified by the Office Operations Manager.
Performs administrative support duties and responsibilities assisting the staff. Creates memorandums, letters, spreadsheets, reports presentations and schedules consistent with approved formats as needed by staff.
Maintains and updates SharePoint site as needed.
KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of office procedures and practices; Knowledge of budget management and/or procurement of goods and services; Knowledge of records and files management; Skill in reading, understanding and applying applicable rules, regulations, policies and procedures; Skill in using correct spelling, grammar and punctuation; Skill in planning, organizing and coordinating work assignments; Skill in listening to and understanding the needs of both internal and external customers; Skill in independent planning, coordinating, completing and tracking the status of assignments; Skill in following oral and written instructions; Ability to communicate effectively orally and in writing; Ability to establish and maintain effective working relationships with others; Ability to collect information/data and review for accuracy and completeness; Ability to use office equipment, Microsoft software applications, and databases.
OTHER JOB RELATED REQUIREMENTS: Responsible for adhering to the provisions and requirements of Section 215. 422, F.S., related State Comptroller's rules, and Department of Transportation's invoice processing and warrant distribution procedures.
