General Description

Performs coordination and execution functions of administrative processes that support the initiatives and projects of Our People Division.

Essential Duties and Responsibilities

  • Supports the core team in the completion of specific projects and tasks, related to the purpose and culture initiative (i.e., sub-initiatives).
  • Ensure resource availability and allocation; promptly escalating and bringing recommendations to overcome issues that cannot be easily resolved.
  • Schedule virtual or in-person meetings and events and arrange venues and schedules for meetings between all the individuals who will be contributing to a project task.
  • Write internal communications, including emails, to inform project team members of important notices.
  • Coordinates, and has direct responsibility for a specific set of tasks related to the purpose and culture initiative’s projects (i.e., focus groups).
  • Ensure the virtual meeting, event, or room set up and other logistics are planned and effectively carried out.
  • Provide meeting facilitators with any pre-session help they might need.
  • Provide logistical follow-up for each session.
  • Prepare travel itineraries and distribute travel arrangements and schedules.
  • Liaison with the project management team to ensure the project proceeds smoothly and on schedule.

Education

Bachelor’s Degree in Business Administration, preferred.

Experience

Minimum two (2) years of experience in administrative and/or coordination functions and customer service.

  • Excellent analytical skills, task coordination, and attention to detail.
  • High level of organization to set priorities, work with multiple tasks simultaneously and meet deadlines.
  • Excellent interpersonal skills, customer service, and teamwork.
  • Ability to work under pressure and meet deadlines and be flexible to changes.
  • Ability to work both independently and in a team setting.
  • Proficient in the use of applications such as MS Office (Word, PowerPoint, Outlook, & Excel), among others.
  • Excellent written (English and Spanish) and visual communications skills (to create reports, communications, among others).
  • Proficiency in verbal communication in English and Spanish.
