Position Summary:

Bentley’s Facilities department is looking for an experienced Facilities Specialist to support our EMEA region, reporting directly to our EMEA Facilities Manager. The Facilities Specialist will oversee the Munich office and keep it running smoothly.  This includes addressing the day-to-day facilities issues that arise, purchasing office supplies/equipment through Bentley’s purchasing systems, managing office access for visitors as well as maintaining common areas. Additionally, this role will work closely with our Regional Manager to support EMEA with various facilities and administrative tasks.

 

Your Day-to-Day:

  • Meeting and greeting users and colleagues
  • Overseeing general office operations including but not limited to:
    • Access control system management
    • Vendor, landlord, contractor liaison
    • Finance duties – invoices, PRs/POs
    • Management of meeting rooms
    • First Aid/Fire Warden training/Risk Registers
    • Incoming post/courier management and distribution
    • Ordering supplies – stationery/amenities
  • Distribution of fleet car documentation including service messages, fuel cards, insurance, and fines.
  • Acting as facilities representative for other EMEA offices where there is no local facilities colleague in place
  • Sitting on the social committee

What You Bring to the Team:

  • Must be fluent in English and German
  • Must possess a courteous and professional manner and be able to deliver a high level of customer service, having the confidence and ability to communication effectively at all levels
  • Highly organised and analytical
  • Excellent attention to detail and proficient in Microsoft Office
  • Excellent oral and written communication skills
  • Demonstrates a “can-do” attitude
