Job Summary

Our client is a well-known technology company based in Silicon Valley. We are seeking a passionate, polished, and dynamic event professional to lead event planning, creative development, catering, and execution of all on-site events. This candidate leads their team with event sales, developing detailed departmental communications streams, and creating departmental reports as needed. You support creative program development including design, themed concepts, teambuilding initiatives, building a catalogue of turn-key ideas for the greater team. You over see a planning team, managing scheduling, training, SOP development, and more. Leading by example, this Sr. E&C Planning role guides the process from ideation to implementation, while holding the highest levels of customer service, and hospitality for all things.

 

As a part of the food and hospitality program for our client, this position offers a unique opportunity with autonomy and management of an event program that is so much more than food.

 

RESPONSIBILITIES:

 

· Focus on mentoring and guiding the planning team while remaining the key planner for VIPs, high-profile and complex events.

· Support the creative program development including design, themed concepts, teambuilding initiatives, and more.

· Reconciliation and approval of client invoices, departmental finances.

· Quick, courteous, and hospitality-driven engagement with clients.

· Event space booking, event coordination and planning, catering sales, menu development with culinary team, creation of detailed BEOs for operations team, communication with onsite support teams (Facilities, A/V (Audio Visual), Janitorial, Security, Reception, etc.), onsite oversight and management of events, post-event follow up and reconciliation.

· You are the point of contact for C-Level & VIP clients, Workplace and On-Campus support teams.

· Event types may include Leadership Team, Employee Experience, Recruitment, and Culture Building Events. Meeting styles may include All Hands Meetings, Executive Briefing Center Events, Business Focused Conferences, for example.

Qualifications

· A minimum of four years of event sales, planning/coordination, and management. Experience as a third-party planner, destination management company or agency a plus.

· Superior organizational skills required.

· Self-motivated and work with a sense of urgency, whilst demonstrating excellent attention to detail.

· Compelling communicator, both verbally and written, with the ability to formally present, in-person, to both large and small audiences, as business demands. Messages conveyed in writing are clear, and concise.

· Flexibility and adaptation in times of change is required, must be able to pivot with grace and ease.

· Ability to read and comprehend elaborate instructions, event requests, correspondence, and memos written in English with attention to details and grammatical correctness.

· Highly proficient in Microsoft Suite including PowerPoint, Word, Excel, Teams, and Outlook.

· Ability to operate Web based ordering system, process customer requests, changes to orders, updates, and client profiles. Knowledge in Tripleseat, SharePoint, ServiceNow, and Momentus a plus.

· A self-starter able to observe what needs to be done, and independently take on tasks with minimal direction.

· Adaptability is key, easily able to switch between projects.

· Guest focused, with a helpful, positive, and ‘can-do’ attitude.

· Be an excellent team player while also showing the drive and enthusiasm to work on their own initiative.

· Ability to see the big picture and help department scale and grow with integrity.

· Ability to interact with diverse and high-volume customer base in a friendly and efficient manner.

· Ability to be on-campus Monday-Friday, from 8 a.m.-5 p.m. Available for evening and weekend events as business need demands.

· You are tech savvy, a whiz with Microsoft suite, and experienced with Excel and PowerPoint. You have a knack for not only event design but have experience with Adobe Creative suite or Canva.

· You are a natural mentor, determined to grow your team and develop your replacement. You can identify strengths and weaknesses and work with individuals to improve. You are kind, and professional, pushing teammates out of their comfort zone, always asking for more. You learn from your mistakes.

· A powerful communicator. Able to share messages, get buy-in from stakeholders, and request approvals in both writing and in-person.
