The Physician Services Specialist positions work in collaboration with multiple stakeholders to facilitate a high-touch, white-glove physician/provider experience across Medical Groups and IPA. In a corporate work-environment, the Specialists exude positivity, focus, problem-solving skills, and resilience to exceed the expectations of internal and external physician/providers, customers and colleagues. Physician Services Specialists respond to all physician/provider inquiries delivering top-caliber concierge service through multiple communication channels. This role is central to ensure a uniquely Hoag experience and a physician/provider experience that is unparalleled in healthcare. Physician Services Specialists maintain a continual learning mindset empowered to self-correct and influence process improvement, technology improvement, and our physician/provider experience.


Physician Services Specialist

In additional the Physician Services Specialist position oversees the administration of various HR and operational functions as appropriate, including recruitment support, benefits administration, leaves of absence, workers’ compensation, etc. and works with other departments, customers and vendors to manage these functions. The specialist also strives to develop specialized expertise in a specific domain (employee relations, benefits administration, leaves of absence, physician performance measures, etc.). The specialist will provide support for provider growth, which may include remote and onsite training and development activities.


Sr. Physician Services Specialist

In addition to the Physician Services Specialist requirements, the Sr. Physician Services Specialist is a mentor on the team that leads aspects of internal training functions, is a subject matter expert in a variety of knowledge sets, and efficiently manages service recovery functions, is a life-long learner, and is a champion change agent for physician/provider experience and process improvement activities.



Essential Functions:


  • Directly supports the strategic, employment, and organizational needs of physicians/providers across Hoag Clinic.
  • Provides physicians/providers with guidance and interpretation of policies and programs.
  • Coordinates medical group open enrollment, administers benefits and enrollment and acts as a liaison with benefits broker and insurance companies to ensure proper benefit offerings and compliance.
  • Advocates physicians’ interests and perspectives by listening and identifying key issues, facilitate communication to ensure all views are represented.
  • Ensures accuracy of physician/provider credentialing, benefits, licensure, and medical malpractice profiles.
  • Reviews and processes Leaves of Absence requests and Workers’ Compensation claims; works with medical group or appropriate leadership regarding accommodation requests.
  • Responds appropriately to physician/provider inquires and training needs. Ability to troubleshoot and problem solve independently.
  • Collaborates and coordinates with Physician Services operations team to ensure smooth onboarding and operations for physicians throughout their employment or relationship with Hoag Clinic; meets with physicians to educate them on benefits, retirement, policies and other benefits and functions.
  • Establishes relationships with Hoag Physician Partner (HPP) physicians that enables the  facilitation of issue remediation and directs operational improvement for MSO services as well as identifies and facilitates in the deployment of new service offerings
  • Partners with Member Services team to ensure standardization, expertise, and high concierge service and as needed address inbound physician calls, email and chat messages
  • Provides account management services of Hoag-sponsored third party entities that provide practice management support (billing, IT, HR, etc.)
  • Ensures adherence to daily operations and physician/provider relations
  • Performs other duties and projects as assigned
  • Position may require travel between various Hoag locations and its affiliates. Position may require participating in meetings or events outside of normal business hours including occasional evenings and/or weekends.


Education, Training and Experience




Physician Services Specialist – Associate’s Degree in Business, Healthcare Administration, Human Resources, or related field, or equivalent work experience. A minimum of 2 years experience in Human Resources.


Sr. Physician Services Specialist  – Bachelor’s Degree in Business or Healthcare Administration, Human Resources, Organizational Development or related field, or equivalent work experience. A minimum of 5 years of experience in Human Resources; Experience managing complex and cross functional initiatives, processes, or projects.

  • Experienced with ADP, Paylocity, Workday payroll systems
  • Applicant Tracking Systems (ATS) experience
