The Construction / Facilities Admin shall work with the Construction, Facilities and Procurement Teams to facilitate, process, track and communicate the equipment and material orders for new clubs, gas stations and existing in-club project initiatives. This position will report to the VP of Construction / Facilities and work directly with the Construction Project Managers, Regional Facilities Managers and the suppliers / contractors as required.
The Admin will process equipment and material orders through Ariba and monitor contractor performance as orders are entered and processed through their systems. This coordination includes working with Store Planning and Procurement Strategic Sourcing to update the Master Equipment Book, the F&E database and purchase order processing for each project based on the project schedules submitted by the assigned Project Managers. This position will also update and track the capital budgets and prepare a monthly executive update for Property Development capital projects.
Major Tasks, Responsibilities, and Key Accountabilities
•Identify and process all equipment required for Property Development projects
•Update and maintain the Master Equipment Book specification sheets
•Track and schedule deliveries for all capital projects and replacement programs
•Maintain a tracking budget for capital equipment and project budgets
•Control communications between suppliers and Project Managers to ensure on time deliveries for each project
•Develop and maintain a master equipment lifecycle database for all existing assets and monitor the equipment maintenance costs for existing assets
•Communicate with key internal home office partners in Finance, Procurement and Property Development to track and synchronize the Property Development budgets
•BS or equivalent experience
•1-3 years of related processing / project management experience
•Experience with Ariba, Tableau or related electronic database and ordering systems preferred.
•Strong written and verbal communication skills with the ability to communicate across the organization
•Proficient in Word, Xcel and PP
